You’ll need your Pipedrive account and a compatible Outlook mailbox. The add-in itself is free.

Install the add-in
Open the
Microsoft Marketplace listing
and follow the installation steps for your Microsoft account. If your organization restricts add-ins, ask your administrator to deploy it.

Open it in Outlook
Open an email and find Pipedrive Integration in Outlook’s Apps menu or message toolbar. Select it to open the sidebar. The location can vary between Outlook versions.

Sign in with Pipedrive
Select Sign in with Pipedrive. Complete sign-in and authorization in the page that opens, then return to Outlook. Keep the sidebar open while the connection finishes.
If the sign-in page does not open, select Show sign-in URL. Copy the URL and open it manually in your browser, then return to the add-in.
Before you begin
Outlook requirements.
The add-in is designed for compatible Outlook web, Windows, and Mac clients. Availability depends on your Outlook version, mailbox, and organization’s add-in policies. An internet connection is required.

Features can have different requirements. In particular, automatic sent-email logging needs a supported send-event runtime and deployment; installing the sidebar alone does not guarantee background logging.
The sidebar uses expandable sections. Open the section you need; use the plus to create a record and the pencil to edit one.

Contacts & organizations
The participant selector connects the current conversation to a Pipedrive contact. You can also choose another sender, recipient, or meeting participant.
Choose the person
Select a participant in the dropdown above the contact. When a single matching record is found, the add-in opens it. If several records match, choose the right one from the results.
Create or connect a contact
If no contact matches, choose Create new contact and review the prefilled details. If the person already exists under another email address, choose Add to existing, search for their record, and confirm the update.
Keep the details current
Use the pencil in the contact header to edit their details. Select the organization name to open its record, or use an external-link icon to open the record in Pipedrive.

Deals & leads
Deals and Leads are separate collapsible sections on the contact page. Expand the section you want to work with.
Create or edit a deal
Use the plus in Deals to create a deal for the contact, or its pencil icon to edit an existing deal. Review the title, value, pipeline, stage, and expected close date before saving.
Move a deal forward
Select a segment of the stage bar to change the stage. Use Won or Lost to update the status. More details reveals fields that are not pinned to the deal card.
Work with leads
Expand Leads to view linked leads. Use the plus to create one, or the pencil to edit one. To convert a lead, choose Convert to deal, select the pipeline and stage, and confirm.

Save emails & attachments
Save Email creates a note from the email you are reading. Attachments are saved separately as files on the chosen record.
Choose the destination
Open an email in read mode and expand Save Email. Choose the contact or a linked deal, or search for another contact, organization, or deal.
Save the message
Select Save email as note. You can also open the menu → Log Email to choose any record, even when the sender is not in Pipedrive. Wait for the success message.
Save the files you need
Select Save beside an attachment. When multiple attachments are listed, Save all attempts to save them together. Each file must be 4 MB or smaller and readable by Outlook’s attachment API.

Saved email notes appear with notes. The Emails section shows email activities, such as those logged from compose mode or optional auto-logging. It is not a copy of your entire mailbox.

Activities & notes
Use Activities for the next action and Notes for the context you want to keep. Both are available on the contact page.
Plan the follow-up
Use the plus in Activities to open Plan activity. Set a title, activity type, date and time, and any other relevant details. Use the pencil to edit an activity and its completion control when it is done.
Log from compose mode
When writing an email or creating a meeting, use the activity prompt to select matching Pipedrive contacts and choose Log activity or Log activities. Review the subject and meeting times before logging. This records an activity; it does not send the message or invitation.
Capture and pin a note
Open Notes, start a new note, and enter the text. Select Pin this note if it should stay prominent, then Create. Use an existing note’s Edit or pin control to update it. Where contact and deal destinations are offered, select the intended record.

Logging an email activity from compose mode records the current draft content. Log it when the content is ready, and avoid logging it again through another method if you do not want duplicate entries.
Beyond the current email
Search any record.
Select the search icon at the top of the sidebar. Enter at least two characters to search contacts, organizations, and deals. Select a result to open the related context.
Contact and organization results open their records in the add-in. A deal result opens its linked contact when available, or opens Pipedrive when there is no linked contact.
To save an email to a record you find, use menu → Log Email. That search lets you choose the destination even if the record does not appear among the email’s participants.
Set up your workspace
The fields you need, up front.
Open menu → Settings → Sidebar Fields. Choose the standard and custom fields that should appear without expanding the contact, organization, or deal. Unticked fields remain available under Show more or More details.

Use Reset to defaults for an entity to restore its original selection. To edit a custom field’s value, open its record and use the custom field’s edit control. Available fields come from your Pipedrive configuration.
In Settings, you can also choose the Default Currency used for new records. Existing record values are not converted by this preference.
An optional extra
Auto-log sent emails.
In menu → Settings, turn on Auto-log Sent Emails to attempt to record sent emails as activities for matching Pipedrive contacts. The add-in checks the message’s To and Cc recipients; it does not create new contacts for unmatched addresses.
Keep your Pipedrive session connected. Background logging depends on a compatible Outlook send-event runtime, access to the saved session and preference, an internet connection, and a deployment that supports event-based activation. It is best effort, not a guarantee that every sent email will be recorded.
Check the contact’s Emails section for logged activities. If automatic logging is unavailable, use the compose activity prompt, or open the sent message and choose Save email as note. Avoid using multiple logging methods for the same message unless you want separate records.
Check that it is installed for the Microsoft account you are using, then refresh Outlook or restart the desktop app. Look in the Apps menu or message toolbar while an email is open. If installation is managed by your organization, contact your Microsoft 365 administrator.
The sign-in page does not open
Choose Show sign-in URL in the add-in, copy that URL, and open it in your browser. Complete authorization with Pipedrive, then return to Outlook and leave the sidebar open while sign-in finishes. If the request times out, cancel and start a new sign-in attempt.
No contact, or the wrong contact, is shown
Check the selected participant above the contact. If multiple records match, choose the correct result. Use the search icon to locate the person directly. Choose Add to existing if their email address should be added to an existing record, rather than creating a duplicate.
Save Email is missing while I am composing
Save Email works on an opened message in read mode. While composing, use the activity prompt to log the draft as an activity instead. To save a sent message as a note, open that message from Sent Items after sending.
An attachment does not save
Files must be 4 MB or smaller. Inline images are excluded from the attachment list, and some attachment types cannot be read by the Outlook API. If Save all only saves some files, check which succeeded and retry only the remaining files. For unsupported or larger files, save them through Pipedrive directly.
Automatic sent-email logging did not run
Confirm Auto-log Sent Emails is enabled in Settings and that you are signed in. Recipients must match Pipedrive contacts, and your Outlook client and deployment must support the send event. Logging is best effort and can fail if the connection, session, or background runtime is unavailable. Check the Emails section before logging the message manually.
A change was not saved
Check your connection and look for an error message in the sidebar. Reopen the record to check its current state before retrying. If your session has expired, use the menu → Logout and sign in again. Your Pipedrive permissions must allow the change.
